PTSA Executive Board Positions

President

  • Oversees and coordinates the work of an executive board to run a PTSA effectively
  • Presides at PTSA board and association meetings
  • Serves as the official contact, communicator and representative of a PTSA
  • Designated as an authorized signer for PTSA checks, contracts and authorizations for payment
  • Serves as ex-officio member of all committees except the nominating committee

Executive Vice President

  • Works as the primary aide to the president
  • Helps lead a PTSA towards specific goals consistent with PTSA purposes and policies
  • Performs president’s duties in his or her absence

Recording Secretary

  •  Takes minutes at board and association meetings
  • Co-signs formal papers with president: authorizations for payment, resolutions and formal letters
  • Handles PTSA correspondence as directed by the president
  • Maintains and preserves PTSA records and important documents to pass on at the end of the term

Treasurer

  • Maintains permanent records to track unit funds and financial transactions
  • Chairs budget committee and prepares annual budget for adoption by the association
  • Pays all PTSA bills as authorized by board or association
  • Prepares reports for every board and association meeting and an annual financial report
  • Ensures taxes and reports required by PTSA bylaws, insurance or federal and state governments are completed and submitted by the due dates

Parliamentarian

  •  Assists the president to manage meetings and advises on parliamentary procedure
  • Chairs bylaws committee to review unit bylaws each year and revise bylaws every three years
  • Arranges nominating committee’s first meeting, providing information on nomination and election process

Historian

  • Captures, assembles and preserves record of activities and achievements of a PTSA
  • Collects volunteer hours for PTSA meetings and events
  • Completes and submits the PTSA Unit-Annual Historian Report to council/district PTSA
  • Fills out Historian Summary Report and files copies as Historian records, like minutes are kept forever
  • Copies for minutes, procedure book and, if applicable, president’s memory book
  • Displays or presents brief overview of PTSA year at meeting near the end of the school year

Additional Officers and Chair Positions

Auditor

  •  Audits the books and financial records of a PTSA to determine their accuracy
  • Presents written reports on audits to the board and the association for adoption
  • Forwards copies of adopted audits to council PTSA as indicated in unit bylaws

Communications Chair

 The PTSA communications leader helps PTSA members and the general public understand that PTSA:

  • Positively impacts the lives of all children and families; and
  • Is a relevant, inclusive, influential volunteer-powered association working for the well-being of children and youth.

Obtain (from predecessor) and study the procedure book and other materials related to performing the duties of communications leader:

  • Electronic communications: email account names and passwords, web hosting information, domain name information, social media usernames, logins and passwords, webmaster contact information.

Fundraising Standing Chair

  • Works with a committee, appointed by the president, to plan and organize fundraising activities
  • Focuses on raising the amount of funds needed to meet the unit’s budget
  • Presents reports on proposed fundraising activities at board and association meetings for approval

Hospitality Chair

  •  Acts as official host of a PTSA in creating welcoming atmosphere at meetings and events
  • Works with committee and other chairman to organize and set up refreshments, food, decorations, registration, and greeters  for PTSA meetings and events
  • Maintains hospitality supplies and equipment and an updated inventory for them
  • Presents hospitality budget for approval at executive board meeting at start of the PTSA year and monitor authorized budget

Membership Standing Chair

The PTA membership chairman works with the membership committee to plan the annual membership campaign. The membership chairman is responsible for creating and implementing a membership plan, promoting membership throughout the year, providing membership reports at PTA board and association meetings, collecting dues, and distributing membership cards.

PTSA Programs Chair

  •  Works with committee and other chairmen to plan and organize events for the school year
  • Collaborates with principal, PTSA president, other committee chairmen and campus student groups to coordinate, plan and implement events
  • Develops annual program calendar and presents it at PTSA association meeting for adoption
  • Publicizes approved program calendar using, website,  and social networks 
  • Oversees and delegates volunteer recruitment for implementing and running programs

  • Recruits and manages committee

Reflections

  • Attend Saddleback Valley PTA Reflections training
  • Oversee the committee's planning and implementation of the program for the school
  • Promote the Reflections program to students thru flyers
  • Establish a program timeline for flyer distribution and when art work deadline for submittal due dates
  • Recruit other committee members, Reflections judges, and volunteers as needed
  • Distribute and answer questions about the rules, deadline, and student entry forms
  • Collect student entries and verify they meet all eligibility requirements

8th Grade Celebration Chair

 A PTSA 8th Grade Celebration is coordinated by a committee whose chairman is an appointed by the executive board. The committee members can include other members of the board, the principal, a faculty member, the president (ex officio) and other PTA members appointed by the president. The major responsibility of this committee is to provide a safe, healthy, legal and supervised recreational event for students in cooperation with the community. A secondary responsibility may be to raise necessary funds to host the event.
